House rules and conditions of stay

These House Rules are accepted by every Guest, with full legal and contractual effect, at the time of booking and confirmed upon check-in and entry to the Property.

This document is displayed at the entrance of the property for easy reference and is always available online on the property's official website.

1 Tourist tax (City tax)

Guests are required to pay the tourist tax as established by the relevant resolution of the Municipal Council of the Municipality of Reggio nell’Emilia.

The tax is currently €2.00 (two euros) per Guest per night, payable for a maximum of five (5) consecutive nights.

The tourist tax is not included in the price paid by the Guest and must be paid directly to the Property Manager at check-in.

The tax is not payable by children up to and including 12 years of age.

Additional specific exemptions from the tourist tax may apply, governed by specific provisions of the Municipality of Reggio Emilia. An up-to-date list of exempt categories is available on the official website of the Municipality of Reggio Emilia; further information may be requested from the Property Manager at check-in.

Guests who believe they qualify for an exemption are asked to inform the Property Manager accordingly, as under the Municipal regulations any exemption is subject to the presentation of appropriate documentation or a statutory declaration to the Property Manager.

2 Guest identification

All Guests must present a valid original identity document at check-in to allow the Property Manager to carry out the registration and legal compliance procedures required by law. The Property Manager is required to obtain a copy of such identity document for legal compliance purposes. Please note that a health insurance card (tessera sanitaria), expired documents, illegible documents or documents without a photograph (such as registry certificates) do not constitute valid identity documents.

Should a Guest fail to present a valid original identity document at check-in, the Property Manager will not be able to grant access to the Property.

In such circumstances, no refund will be issued, as it is the Guest's responsibility to produce a valid identity document at check-in.

With specific regard to the Booking Guest only: where the residential address is not shown on the document presented (e.g. in the case of an Italian driving licence), the Booking Guest must provide the Property Manager with their current residential address (city, street name and number) so that the Property Manager has the information required to issue a proper invoice following the stay.

3 Matching identity of the booking guest and total number of guests

The person who makes the booking (the Booking Guest) must be the same person who presents themselves in person at check-in for identification and to access the Property and Apartment, whether the booking was made directly with the Property Manager or through an online booking platform.

The Property Manager will not grant access to the Property if the booking was made by a specific Booking Guest but a different person presents at check-in, unless prior written authorisation has been granted by the Property Manager following a written request from the Booking Guest submitted at least two (2) days before the check-in date. Any such authorisation is entirely at the Property Manager's discretion (subject to organisational and security considerations), with no refund available in the event of a refusal or where authorisation is requested less than 2 days before the scheduled check-in.

Access to the Property (including the private parking area) is permitted exclusively to Guests and to the total number of Guests indicated in the booking received by the Property Manager.

The entry, stay or overnight accommodation of a number of persons greater than that declared at the time of booking is not permitted. The Property Manager reserves the right to deny access to the Property to any persons not listed in the booking, without providing any refund.

In all cases, the Property Manager retains the right to demand immediate payment of any additional amount due where the number of Guests present exceeds the number stated in the booking.

Breach of this clause — including any discrepancy between the name of the booking party and the person presenting at check-in, as well as the presence of more Guests than authorised — entitles the Property Manager to immediately terminate the stay, requiring all Guests to vacate the Property forthwith, with no right to any refund, without prejudice to the right to compensation for any further loss suffered by the Property Manager.

Where fewer Guests are present than stated in the booking, the Property Manager will not provide any refund, even partial.

4 Stays involving minor guests

Guests under the age of eighteen (18) are not permitted to access or stay at the Property unless accompanied by an adult Guest.

Whenever one or more Guests are under eighteen years of age, the simultaneous presence of an adult Guest acting as "Group Leader and Responsible Accompanying Adult" is mandatory for the entire duration of the stay.

The adult Guest designated as Group Leader in the booking personally authorises the presence of minor Guests at the Property and assumes full responsibility for them throughout the entire stay, including during any temporary absence from the Property; that person is the sole point of contact with the Property Manager for all communications relating to the booking and the stay, and assumes full responsibility for the management of the apartment, the correct use of its facilities, and compliance with these House Rules and the instructions given by the Property Manager.

The adult Group Leader and Responsible Accompanying Adult is also responsible for supervising minor guests, for their behaviour, and for any damage caused to the Property, its furnishings, installations or associated areas, including where minor Guests remain inside the Apartment or the Property during the Group Leader's temporary absence; the Property Manager assumes no responsibility whatsoever with respect to minor Guests, including where the adult Group Leader is temporarily absent.

The adult accompanying Guest must be present at both check-in and check-out.

In the absence of a responsible adult accompanying guest, the Property Manager will not permit the stay of minor Guests or grant access to the Property, with no right to any refund.

5 Access limited to registered guests only

For security reasons and in compliance with applicable law (art. 109 T.U.L.P.S.), access to the Property and its associated areas, as well as to the Apartments themselves, is permitted exclusively to Guests identified at the time of booking and at check-in.

Guests are strictly prohibited from granting entry or allowing the presence — even temporary — of any persons not previously identified in accordance with clause 2 of these House Rules inside the Apartments, within the Property or in its associated areas. Guests are also strictly prohibited from allowing unregistered persons access to the Property's private parking area.

Breach of this condition will result in the immediate termination of the stay and the obligation on the part of the Guest(s) to vacate the Property immediately, with no right to any refund.

6 Temporary use only. No residency

The apartments may be used exclusively for the purposes of temporary accommodation or tourist stays.

Guests are strictly prohibited from using the Property in a manner incompatible with its intended accommodation purpose or from establishing residency therein.

7 Quiet hours and respect for neighbours

Guests are required to behave in a manner that is respectful of the peace and quiet of the Property and to avoid causing disturbance to other Guests or to neighbours. Guests are required to avoid excessive noise (e.g. loud music), particularly during quiet hours: from 22:30 to 07:00 at night and from 13:00 to 15:00 in the afternoon.

Breach of this clause, as established by the Property Manager, will result in the immediate termination of the stay and the obligation on the part of the Guest(s) to vacate the Property immediately, with no right to any refund.

8 No parties or events

Parties, events or gatherings that may disturb the peace, cause damage to the Property, or involve the presence of unregistered persons inside the Property or its associated areas in breach of clause 4 of these House Rules are strictly prohibited.

Breach of this clause — assessed at the Property Manager's discretion on organisational and security grounds — will result in the immediate termination of the stay and the obligation on the part of the Guest(s) to vacate the Property immediately, with no right to any refund, without prejudice to the right to compensation for any further loss suffered by the Property Manager.

9 No smoking

Smoking is strictly prohibited inside the Apartments and in the common areas of the Property. The Property is equipped with electronic smoke detection devices which, upon detecting smoke inside the Property, may be activated and emit a loud alarm signal. In the event of any activation of the smoke alarm, Guests are required to immediately notify the Property Manager at the contact details already provided to them.

The Property has private enclosed outdoor areas specifically designated for smokers, which the Property Manager will indicate to Guests and which Guests are required to use.

In the event of a breach of the no-smoking rule inside the individual apartments or in any other area of the Property not designated for smoking, the Property Manager may charge Guests for: the costs of sanitising and deodorising the premises; the costs of any damage to curtains, textiles, furnishings or installations; and the costs of any technical intervention required as a result of the breach of the no-smoking rule.

The Property Manager retains the right to terminate the stay and remove the Guest from the Property in the event of repeated breach of this prohibition.

10 Careful use of the apartment and key custody

Guests are personally responsible for the proper custody and management of the apartment assigned to them, along with all its furnishings, equipment and installations.

The Apartment provided by the Property Manager (as well as the common areas of the Property and its associated spaces) must be used in accordance with the ordinary requirements of a temporary or tourist stay.

At check-in, Guests will be provided with instructions for the Apartment covering the correct operation of the heating/cooling system, as well as all guidance relating to the correct use of the appliances and installations provided. Instructions may also be provided by the Property Manager in the form of instructional videos or video guides made available to Guests.

Guests are required to comply with these instructions. It is expressly prohibited to tamper with or modify any installations, as well as to use electrical or other equipment that is non-compliant, incompatible with a residential electrical system, or not authorised by the Property Manager. Guests are also prohibited from leaving installations or equipment running in their absence where doing so may create safety risks or result in abnormal consumption incompatible with the requirements of a temporary or tourist stay.

Guests are liable for any damage arising from improper, negligent or non-compliant use of the installations, in accordance with arts. 1176 and 2043 of the Italian Civil Code.

Guests are required to follow the Property Manager's instructions on the separate collection and disposal of waste produced by Guests during their stay. The apartment must be kept in a condition of normal order and cleanliness throughout the stay.

Guests are personally responsible for the diligent safekeeping of keys, magnetic access cards and numeric access codes for the Property.

It is strictly forbidden to transfer keys, magnetic access cards or access codes to third parties. Any established transfer of access devices to third parties will result in the immediate termination of the stay and the obligation on the part of the Guest(s) to vacate the Property immediately, with no right to any refund.

In the event of loss or failure to return the magnetic access card or keys at the end of the stay, the Guest will be charged an amount of €50.00 (fifty euros).

11 Stays exceeding 15 nights

In the case of stays exceeding fifteen (15) nights — including where such duration is the result of cumulative or consecutive bookings — the Property Manager reserves the right to request that Guests pay a security deposit at the time of booking or at check-in. The amount of the deposit may vary depending on the anticipated length of stay.

The security deposit is intended to guarantee the correct and full return of the apartment; the integrity of the premises, furnishings and all equipment therein; compliance with the conditions of stay set out in these House Rules; and the payment of any amounts due by way of compensation for damage, extraordinary cleaning or other charges attributable to the Guest.

The security deposit collected from the Guest will be held by the Property Manager in a non-interest-bearing account and will not generate any interest for the Guest. It will be returned within three (3) days of the end of the stay, subject to an inspection of the apartment and its contents.

The Property Manager is entitled to retain the security deposit, in whole or in part, to offset any damage caused by the Guest to the Property, its furnishings or installations, as well as in the event of non-compliance with or breach of any provision of these House Rules, and to cover the costs required to restore the apartment and any extraordinary cleaning.

The Property Manager's right to claim compensation for any greater loss pursuant to arts. 1218 and 2043 of the Italian Civil Code remains unaffected.

12 Damage to the property

Any damage to the Apartments, furnishings or items forming part of the Property or its associated areas caused by Guests must be reported immediately by the Guest to the Property Manager, who reserves the right to assess the extent of such damage.

Guests are required to provide full compensation for any damage caused to the Property or its contents, even if caused unintentionally.

Guests will be held legally liable for any damage caused to the apartment, its furnishings, installations, equipment and common areas, even where such damage is discovered by the Property Manager after check-out.

13 Safekeeping of personal belongings

The Property does not offer any valuables storage service.

Guests are advised to take the utmost care of their personal belongings.

The Property Manager accepts no liability for the loss, theft or disappearance of money, valuables or other personal items left unattended inside the Apartments or within the Property and its associated areas. The Property Manager is not liable for the loss or damage of Guests' belongings caused by the Guest's own carelessness or negligence.

14 Prohibition of unlawful activities

Guests, like any other person, are strictly prohibited from using the Property or any of its apartments for unlawful activities, activities contrary to public decency, or activities otherwise incompatible with the Property's intended accommodation purpose.

In particular, the use of the apartments for activities that may cause disturbance, compromise safety, or damage the image and reputation of the Property is not permitted.

15 Property Manager's right of access

The Property Manager reserves the full right to access the apartment during the stay — including through authorised staff — in the following cases: a) urgent maintenance needs or risk of irreparable damage to the Property; b) urgent safety reasons; c) inspections relating to compliance with these House Rules where there has been repeated or serious misconduct by a Guest that may cause damage to the Property, disturbance to other Guests or neighbours, or serious breach of these conditions of stay.

Where Guests engage in serious or repeated conduct in breach of these House Rules, the Property Manager may — even without prior notice — access the apartment to carry out the necessary inspections, require the immediate cessation of the conduct in breach of these House Rules, and in the case of serious and repeated misconduct, order the immediate termination of the stay, requiring the Guest to vacate the apartment forthwith, with no right to any refund.

16 No pets

Pets of any species or size are not permitted inside the Property or its apartments, unless prior written authorisation has been expressly granted by the Property Manager.

In the event of a breach of this clause, the Property Manager reserves the right to: deny access to the Property to Guests accompanied by animals and require the immediate removal of the animal from the Property. Where a breach of this clause occurs, the Property Manager reserves the right to charge the costs of extraordinary cleaning and sanitisation made necessary by the presence of the animal.

Where the presence of an animal causes damage to the Property, its furnishings or installations, the Guest will be required to provide full compensation for such damage, pursuant to arts. 2043 and 2052 of the Italian Civil Code.

Non-compliance with this provision may result — in cases of particular gravity or repetition — in the immediate termination of the stay with no right to any refund, without prejudice to the Property Manager's right to compensation for any further loss suffered.

17 Check-out

Guests must vacate the apartments by no later than 11:00 on the last day of their stay (check-out time). Upon vacating the apartment, Guests must remove all personal belongings. The Property Manager accepts no liability whatsoever (including for safekeeping) for any items left by Guests inside the apartment or the Property after check-out.

Unless prior written authorisation has been agreed with the Property Manager at least two (2) days before check-in, occupation of the apartment beyond the check-out time of 11:00 will result in additional charges being applied to the Guest, which may vary depending on the actual time of departure.

The Property Manager expressly reserves the right to access the apartment after the scheduled check-out time (after 11:00) for operational purposes (cleaning and preparing the premises for the next guest) and for the organisation of the accommodation service.

Where the apartment is returned at check-out in a state of exceptional dirt, disorder or deterioration beyond normal use, the Property Manager always reserves the right to charge the Guest for the costs required to carry out extraordinary cleaning or restoration work. The amount relating to extraordinary cleaning will be determined by the Property Manager based on costs actually incurred.

18 Check-in

The scheduled check-in window — understood as the time of first access to the Property, its associated areas and the Apartments — is between 15:00 and 20:00 on the arrival date indicated in the booking, whether the booking was made directly with the Property Manager or via an online booking platform.

Unless prior written authorisation has been agreed with the Property Manager at least two (2) calendar days before the arrival date, where the Guest arrives at the Property after 20:00, the Property Manager reserves the right to apply additional charges, which may vary depending on the actual time of arrival.

It is understood in any case that the Property Manager — unless a written agreement has been reached with at least two (2) calendar days' notice prior to the scheduled arrival date — is not contractually required to carry out check-in or to welcome Guests after 23:00 on the arrival date indicated in the booking. Accordingly, in the event of arrival after that time, the Guest will not be able to access the Property and will have no right to any refund.

Acceptance of the House Rules

Access to the Property and the apartments, as well as the completion of check-in by Guests with the presentation of an identity document as referred to in clause 2, constitutes full acceptance of these House Rules by each Guest. The House Rules are displayed prominently and are always available for full consultation at the entrance of the Property. In the event of versions drafted in a different language, the Italian version shall always prevail.
